The following recognition process has been endorsed by Management Board Secretariat based on a consensus reached by the Quarter Century Club (QCC) with the HR Council, CAO Forum and the DM Council.

1. Each Ministry/Agency is responsible for preparing and delivering a personalized letter of congratulations addressed to the employee from his/her Deputy/Agency Head or the Minister.

2. Each employee should be contacted by an appropriate level of management, to ascertain if they wish to be presented with their 25-year recognition awards. If not, arrangements should be made to deliver or mail the new QCC member package directly to them.

3. If the employee agrees to a presentation, arrange for this to take place at a suitable time and location in the presence of their workplace colleagues, on or close to their 25-year anniversary date. A senior level of management should make the presentation of the awards.

A personalised 25-year congratulatory certificate is also available, upon request, from the Premier’s Office. Many Ministries/Agencies are arranging for these certificates to be suitably framed and included in the 25-year package presented to the employee. All Ministries/Agencies are encouraged to adopt this practice.

In addition, each Ministry/Agency may wish to consider augmenting the minimum standard of recognition with one or more of the following common practices:

Arrange for an article on the presentation to be included in a subsequent issue of the Ministry/Agency newsletter along with any photographs of the event.

Arrange for an article on the presentation to be included in the QCC Trillium newsletter, space permitting, along with any photographs of the event, at no cost to the Ministry.

Arrange for an annual luncheon or dinner to recognise all Ministry/Agency employees achieving the 25-year milestone.

Note: The additional costs of any of these optional recognition activities will be borne by the Ministry/Agency.
